Nova Systems is focused on studying a path that, step by step, guides each company toward the full and effective use of the BeOne solution.   The first step is the initial meeting, which will start the profiling activity. This activity, carried out with the help of interviews conducted by our Account Managers, has a twofold objective: that of beginning to know the needs of the company and that of identifying at the same time the products and services offered by Nova Systems that best meet the operational needs of the company. 

Based on the information shared, Nova Systems proceeds to configure the demonstration environment so that the company can see a potential workflow hypothesis of its own implemented within BeOne. The demonstration environment can be chosen in multiple languages, including Italian, English, Spanish or French. 

The meetings intended for Demo & Feature Analysis can be made, at the choice of the company, at its headquarters, in web meeting mode or in the offices of Nova Systems. 

It is during these individual meetings that a company, seeing its workflow implemented in the software, is normally able to convey to us any parameterization needs to make the new workflow optimized.  

At the end of this phase, the project is presented to the company, in terms of the time required and the steps for carrying out the subsequent activities.

The customer signs the partnership agreement with us and becomes part of the Nova Systems network, in all its forms.  It is essential at this stage to accept the General Terms and Conditions of the BeOne Contract, which seal with Nova Systems a partnership based on trust, support and sharing of know-how for mutual business development.  In addition to this, to compose the offer, based on a monthly pay-per-use fee, it will be necessary to sign the Purchase Order Contract, on which the software modules and services chosen by the customer will be indicated.  

The choice of our metrics allows us to ensure a monthly fee that includes: 

• Cloud mode delivery, with contractually guaranteed business continuity; 

• Maintenance of the entire infrastructure and data center at the latest technology; 

• Delivery of products and services as described in the purchase order contract; 

• Bi-monthly release updates with upgrades and new features; 

• Assistance included, direct telephone and telematic, standard from Monday to Thursday from 07.00 to 22.00, Friday from 07.00 to 24.00, Saturday from 08.00 to 12.00; 

• Data saving, maintenance and backup. 

Finally, the activities dedicated to the start-up phase of the project will be defined by signing the Start-up Contract, in a dual opportunity presented to the customer, which provides a one-off formula to enhance the entire project, or a formula for the purchase of hours charged monthly, which will make up the customer's total number of hours, from which all project activities will be scaled down. In both cases, the customer will have access to a reserved area where he can check the progress of his activities.

Once the partnership with Nova Systems has been signed, the real path of collaboration begins, which starts with the first meeting, the Kick-Off Meeting, between the client's Key Users and Nova Systems' Account Managers. This phase is crucial for the definition of the project and has as its ultimate goal the planning of all the activities that must be carried out to get to the day of the Go-Live.

It starts with the verification of the customer's infrastructure, the installations, the definition of the training schedule and the choice of how this activity will be conducted, up to the creation of the environment and its parameterization, with the choice also of the mode of data migration. All this is guided by the Nova Systems Project Manager who, together with the Key Users appointed by the customer, is committed to monitoring the progress of each activity preparatory to the conclusion of the project phases.

The agreements made during this meeting will be shared with the client so that they can actively participate. From here we enter the operational phase. Nova Systems creates the customer's Cloud Enviroment, on which the chosen products and services are activated to begin the parameterization phase and make the environment conform to the customer's operational needs. Finally, at the end of this phase, a first Data Migration is performed, preparing the environment for the next training phase.

The training phase is carried out within a test environment, where an initial data import has been performed. The objective is to carry out the training on real operational flows, which bring the user closer to the performance of his daily activities. In this regard, the duration of the training is set through a training calendar agreed at the Kick-Off meeting. Nova Systems always gives the customer the opportunity to choose whether the recipients of the training are End-Users, i.e. end users, or Key-Users, as department managers whose task is to transfer the skills and knowledge acquired. 

The training can be carried out at the customer's premises or involving the NovAcademy Business Unit, through meetings in webinar mode. Nova Systems recommends the most suitable training method for the company, which will have the opportunity to adopt the best solution according to its needs.The effectiveness of the training determines the Go-Live’s success.

It is in this phase that the work done in the previous steps materializes.  
In the weeks leading up to the Go-Live, the production environment is created and all the final checks are carried out on the system parameters. The level of awareness of the end users is also shared and a final data import is performed, in order to have an environment that is suitable and aligned with the client's updated data.

The crucial day of the go-live arrives, during which Nova Systems' account managers are present at the customer's offices and branches to support the operators in this crucial phase, guaranteeing immediate assistance for any type of need.
At Nova Systems' headquarters, at the same time, a dedicated team is working to follow step by step the success of the go-live, providing additional support to the account managers' activities. During the Go-Live, the BeOne system is used by the client to manage the entire operational flow.  In the first day and in the days just after Nova Systems is committed to monitor the progress of the Go-Live and the degree of customer satisfaction.

Each company is also assigned a Project Manager and an Account Manager for each of its activities.
